Migration checklist

Move one real project first. Learn the gaps before moving the portfolio.

The safest Project Online migration starts with a pilot plan, a validation pass, and a stakeholder walkthrough. This checklist is the beta playbook we use with Timezylla testers.

Before export

Clean up ownership, status, and priority first. Exporting a messy plan only moves uncertainty into the new tool.

  • Confirm the current owner and backup owner.
  • Archive stale projects instead of migrating everything.
  • Flag projects with sensitive data before sharing files.

During migration

Validate the shape of the plan before judging the design. Dates, dependencies, milestones, resources, and baselines matter more than visual polish at this stage.

  • Compare task count and milestone count.
  • Review dependency direction and lag assumptions.
  • Check critical path and resource assignments.

After migration

A plan is migrated only when the team can run the next project meeting from it. Ask one project manager and one stakeholder to review the same migrated plan.

  • Run one status meeting from the new workspace.
  • Export or share the stakeholder view.
  • Record every missing workflow before expanding rollout.

  6. 06Share the migrated plan with one stakeholder.
  7. 07Ask the project manager what felt slower than the old workflow.
  8. 08Decide whether to migrate the next five projects or fix blockers first.
